Introduction

Welcome to Mannar Catering. These Terms and Conditions ("Terms") govern your use of our catering services and website. By booking our services or accessing our website, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our services.

Booking Policy

How to Book

  • Bookings can be made through our website, email, or phone
  • A booking form or email confirmation must be completed
  • Booking details should include date, time, number of guests, and menu preferences
  • All bookings require advance notice as detailed below

Minimum Notice for Bookings

  • Standard Catering: 14 days minimum notice required
  • Wedding Catering: 30 days minimum notice required
  • Corporate Events: 21 days minimum notice required
  • Urgent bookings subject to availability and surcharge of 20%

Booking Confirmation

  • A confirmation email will be sent within 24 hours of booking request
  • Client must review and confirm all details within 3 days
  • Any changes must be communicated in writing
  • Changes requested within 7 days of event may incur additional charges

Changes to Bookings

  • Changes to guest count must be submitted at least 7 days before event
  • Decreases in guest count within 7 days are non-refundable
  • Increases in guest count subject to availability
  • Menu changes must be approved and may incur additional charges
⚠️ Important: Once a booking is confirmed, a commitment has been made. Any changes may incur additional charges or fees.

Payment Terms

Payment Schedule

  • Deposit: 50% of total bill due at time of booking to secure the date
  • Balance: Remaining 50% due 7 days before the event
  • Payment can be made via bank transfer, credit card, or cash
  • Late payments may result in cancellation of booking

Invoice and Pricing

  • Detailed quotation will be provided after initial consultation
  • Final invoice based on confirmed guest count
  • Prices include food, service, and basic setup
  • Additional charges apply for premium services or special requests
  • Prices are quoted inclusive of VAT where applicable

Payment Methods

  • Bank Transfer: Standard business days (fastest payment method)
  • Credit/Debit Card: Via secure payment gateway
  • Cash: By arrangement (advance booking required)
  • Cheques: Subject to clearance, please arrange in advance

Surcharges and Additional Costs

  • Delivery charge: £1.50 per mile from our location
  • Weekend surcharge: 15% for Saturday/Sunday events
  • Late evening surcharge (after 9 PM): 20%
  • Setup and decoration: Additional cost as quoted
  • Staff/Service personnel: £20 per hour per staff member

Cancellation Policy

Cancellation by Client

  • More than 30 days before event: Full refund of deposit minus 10% administrative fee
  • 15-30 days before event: 50% of total amount is non-refundable
  • 7-14 days before event: 75% of total amount is non-refundable
  • Less than 7 days before event: 100% non-refundable (full payment due)

Cancellation by Mannar Catering

  • We reserve the right to cancel bookings 7 days in advance in emergency situations only
  • In case of cancellation by us, full refund or alternative date will be offered
  • We are not liable for any losses incurred due to emergency cancellation

Postponement

  • Event postponement must be requested in writing as soon as possible
  • Deposit will be transferred to new date if postponed within 60 days
  • Postponement beyond 60 days is subject to cancellation policy
  • Date availability must be confirmed before postponement is finalized

Liability and Disclaimer

Limitation of Liability

  • Mannar Catering is not liable for damages exceeding the total amount paid for services
  • We are not responsible for delays caused by external factors (traffic, force majeure)
  • Client assumes responsibility for venue safety and guest management
  • We assume no responsibility for guest conduct or incidents at events

Service Guarantee

  • We guarantee professional catering service and fresh, quality food
  • If service is unsatisfactory, client must inform us during the event
  • Complaints after event require written documentation within 48 hours
  • We will investigate and offer appropriate remedy

Weather and Force Majeure

  • Outdoor events are subject to weather conditions
  • In case of extreme weather, alternative arrangements must be agreed
  • We are not liable for weather-related issues or their consequences
  • Force majeure events (pandemic, natural disasters) may result in postponement

Venue Responsibility

  • Client is responsible for providing safe venue with adequate facilities
  • Client must ensure parking facilities for our catering vehicles
  • Client responsible for electrical outlets and water supply if needed
  • Mannar Catering is not responsible for venue-related incidents

Food Allergies Disclaimer

⚠️ CRITICAL ALLERGY INFORMATION: While we take food safety seriously, please note that our kitchen may process allergens. Cross-contamination cannot be completely ruled out despite our best efforts.

Allergen Management

  • All known allergens must be declared at booking
  • We will provide information about allergens in our dishes
  • Special allergen-free meals can be arranged with advance notice
  • Severe allergies require separate preparation and containers

Client Responsibility

  • Client must disclose all allergies when booking
  • Client responsible for informing all guests of allergen information
  • We recommend carrying EpiPens and allergy medications
  • Mannar Catering is not liable for allergic reactions if allergens not declared

Dietary Requirements

  • Vegetarian, vegan, and gluten-free options available
  • Religious dietary requirements (Halal, Kosher, etc.) can be accommodated
  • Special requests must be communicated 14 days before event
  • Additional charges may apply for specialized dietary requirements

Service Details

Service Included in Catering

  • Professional food preparation and cooking
  • Serving of food at event location
  • Basic disposable serving items (plates, cutlery, napkins)
  • Cleanup of serving areas
  • Professional uniformed staff (where staff service is arranged)

Service Not Included

  • Beverages/drinks service (unless separately contracted)
  • Venue decoration or setup beyond food preparation
  • Entertainment or DJ services
  • Rental of tables, chairs, or catering equipment (unless arranged)
  • Final cleanup of entire venue

Delivery and Setup

  • Setup typically begins 1-2 hours before event start time
  • Venue must be accessible and ready for setup
  • Client must arrange parking for catering vehicle
  • Electricity and water supply must be available if required
  • Delivery address must be clearly communicated

Event Day Changes

  • Menu changes on event day are subject to negotiation
  • Additional guest increases on day may not be accommodated
  • We reserve right to reduce food portions if guest count increases significantly
  • Any issues must be reported to event manager immediately

Photography and Media Rights

Professional Photography

  • We may take photographs of our catering setup and food presentation
  • These photos may be used on our website and social media for marketing
  • If you do not want us to photograph your event, please notify us in writing
  • We will never photograph guest faces without prior consent

Your Photos

  • Clients may take photos of the catering setup for personal use
  • We retain copyright to any professional food photography we conduct
  • Use of our photos for commercial purposes requires written permission

Dispute Resolution and Governing Law

Complaints Procedure

  • Complaints about service quality must be reported during the event
  • For quality issues, written complaint required within 48 hours
  • Include event date, details, and photos if applicable
  • We will investigate and respond within 7 days

Governing Law

  • These Terms are governed by UK law
  • Disputes shall be resolved under English law jurisdiction
  • Client agrees to attempt resolution through negotiation first
  • Unresolved disputes may proceed to court proceedings

Acceptance and Amendment
